- Regional management: initial team size, growth scenarios, proximity to clients and the purpose of the Shanghai presence.
- Finance: approved monthly expenditure, upfront cash limit, contract term, tax and invoice requirements, and exit exposure.
- Procurement and legal: contracting entity, authorized signatory, permitted use, service obligations, termination and renewal provisions.

Which Shanghai location fits your operating needs?
Compare specific addresses and journeys. Pudong is a large area: Lujiazui and Century Park/Huamu should not be treated as interchangeable. Likewise, an office in Changning should not be assumed to sit beside Hongqiao Railway Station.
- Lujiazui, Pudong: shortlist for a landmark financial-district presence and client-facing corporate functions. Compare the actual suite, building access and employee commute across CEO SUITE at Shanghai World Financial Center, Signature at Jin Mao Tower and The Executive Centre at Shanghai IFC.
- Century Park/Huamu, Pudong: consider Kerry Parkside when this part of Pudong suits your team and client routes. Its Century Park setting is a different proposition from a Lujiazui tower address.
- Jing’an: compare central Puxi locations individually. One Museum Place and China Merchants Plaza offer different building environments and access routes; verify the journey from the relevant station exit.
- Changning: assess Hongqiao International Sci-Tech Plaza against your western Shanghai client base and travel patterns. Check the route and time to the airport terminal or railway station you actually use.
- Xuhui: retain 199 Kaibin Road as a geographic alternative where Xuhui better serves employees and customers. One centre’s starting rate cannot establish that the entire district is cheaper.

Build a Shanghai office budget that procurement can compare
Request quotations using the same headcount, occupation date, contract duration, required layout and service assumptions. Every price should state whether it is per workstation, per person or per suite, whether tax is included, and whether a promotion or minimum term applies. Avoid comparing a shared-desk offer with a private enterprise suite.
- Recurring occupancy costs: suite charge, committed connectivity and service packages, expected additional facility usage, parking and after-hours charges where applicable.

Complete procurement, registration and IT checks
Premises and registration. Establish whether the precise premises can support your entity type and intended activity, which documents will be supplied and who confirms acceptance. A business-address service or access to an office does not automatically settle registration requirements. Shanghai’s official business-address registration guidance provides the starting point; use qualified local advisers for your entity’s application.
Contract and services. Confirm the contracting party and its authority, permitted use, deposit refund conditions, notice periods, renewal mechanism and any break or expansion rights. Document included services, usage limits, additional charges and escalation contacts. Ask what happens if the operator cannot deliver the agreed suite or essential services.
IT, privacy and continuity. Obtain your IT team’s approval of network segregation, connectivity, access logs, visitor controls and contingency arrangements. Test the applications your employees need under the proposed connectivity setup. Ask for evidence where a security or resilience capability is required; do not treat a generic “enterprise-grade” label as verification.
Layout and workplace. Validate the proposed plan against realistic attendance, confidential work, accessibility and shared-facility demand. Include HR, workplace and security stakeholders before commercial sign-off so requirements do not emerge after the suite is reserved.
Plan the move-in sequence around approval gates
- Approve the brief: agree capacity, location, expenditure limits and mandatory requirements.
- Resolve premises requirements: confirm the registration and permitted-use checks needed for the entity.
- Shortlist and inspect: compare actual suites and journeys, not only building photographs.
- Normalize proposals: evaluate the same occupancy period, service assumptions and upfront cash basis.
- Complete approvals: finalize legal, procurement, finance and IT reviews before signing.
- Onboard and validate: complete payments and access setup, test connectivity and agree a handover checklist.
An available fitted suite may be ready quickly once the prerequisites are complete. Customization, connectivity work, operator onboarding and corporate approvals can extend the programme. Is Lujiazui the right location for every enterprise?
No. It is a relevant option for a landmark financial-district presence, but the right address depends on customers, staff journeys and operating needs. Compare central Puxi, Century Park/Huamu, Changning and Xuhui where they better serve your team.
Can we use a serviced office to register our company?
Confirm eligibility for the exact premises, entity and activity before committing. Ask which supporting documents are provided and obtain advice on the registration process. Do not assume that every workspace or business-address package qualifies.
How should we compare Shanghai private-office prices?
Use quotations for the same team size, contract duration, proposed layout and service needs. Record the unit, currency, taxes, deposit, one-off charges and exit obligations. An advertised starting rate alone is not a whole-team budget.
Can a centre accommodate future growth?
Request the proposed expansion route and its contractual basis. Ask whether it involves adjacent space, another suite or relocation, what it would cost and what notice is required. Future availability should not be assumed.
